Administrative Assistant & Data Entry Specialist
Status: This is a temporary position with Hillsborough Kids
Location: 9309 & 9391 N. Florida Avenue, Tampa, FL 33612
Summary: This position is responsible for performing administrative duties at The Family Place location and data entry duties at the Kids Direct location. Responsibilities include:
- Greet visitors.
- Send, receive, and distribute mail.
- Answer and screen telephone calls, take messages, & arrange conference calls.
- Assists with various office administration projects as assigned.
- Collect, verify and accurately enter all client information. This includes the initial and ongoing statistical, demographic and narrative data entry into specialized software packages.
- Answer calls, create Event tickets, update FSFN and ICWSIS, research and follow up.
- Check the Data Services dashboard to update FSFN and ICWSIS. Enter and maintaining the notes section for tickets created.
- Monitor other department dashboards to assure that tickets are getting completed timely and accurately.
- Monitor the notes section of the Event Detail page for timely, thorough and accurate entries.
Qualifications: High school diploma or general education degree (GED); and three months related experience; or equivalent combination of education and experience.
Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Outlook, PowerPoint, Excel and Word Processing software.

Administrative Assistant-Licensed Care
Location: 9309 N. Florida Avenue, Tampa, FL 33612
Summary: This position is responsible for administrative support of all areas and positions within the Licensed Care department. Responsibilities include:
- Order supplies
- Maintain conference room reservations as needed
- Scan and copy information as requested
- Send mail, faxes, and packages as needed
- Answer phones in a professional manner, take messages as needed, and ensure any emergency is communicated to the appropriate person
- Gather all weekly bed availability reports from licensing agencies and distribute to appropriate parties
- Track the placement and movement of children in licensed care to include disruptions and safety plans as well as other requested tracking
- Maintain Comprehensive Behavioral Health tracking form
- Ensure information and data is correct by daily review of Placement dashboard on Kids Direct, FSFN, and ICWSIS. Work with the Hillsborough Kids team to ensure any incorrect data is corrected.
- Reconcile Hillsborough Kids monthly intake data with HCSO monthly intake data
- Ensure HKInet is kept accurate and organized.
- Distribution of waiver and change of capacity requests to licensing agencies when appropriate.
- Attendance at any requested meetings and distribution of minutes.
Qualifications: High school diploma or general education degree (GED); and three months related experience; or equivalent combination of education and experience.
Computer Skills: To perform this job successfully, an individual should have a strong knowledge of Microsoft Outlook, PowerPoint, Excel and Word software.

Client Trust Fund Specialist
Location: 9309 N. Florida Avenue, Tampa, FL 33612
Summary: This position is responsible for the care of Social Security funds and expenditures on behalf of the children in Foster Care. Responsibilities include:
- Prepares and maintains Master Trust files by individual child.
- Processes SSA applications for eligible children.
- Processes and tracks requests for funds from the CTF.
- Maintains computer records for both HKI Kids Page and FAST in a timely manner.
- Reports on a monthly basis the children nearing their asset limit of $2,000.00 to care managers.
- Reports on a monthly basis the outstanding receipts to care managers.
- Perform monthly analysis and the interest spread as required by Social Security regulations.
Qualifications: Associate's degree (A. A.) or equivalent from two-year college or technical school; and two years related experience; or equivalent combination of education and experience.
Computer Skills: To perform this job successfully, an individual should have knowledge of Outlook, Excel, Microsoft Word, and Great Plains accounting software.

Director of Permanency Services
Summary: This position is responsible for start up and direct oversight of the Hillsborough Kids Permanency Team. The Director will coach the team on family engagement and family finding. This position supports the mission of Hillsborough Kids with a focus on support to Case Management Organizations (CMOs) within the Hillsborough Kids system of care selected as a participant in the Family Finders Research Project. Responsibilities include:
- Follow the Grant parameters to build a team of Family Finders/Permanency staff
- Hires, supervises and develops the Family Finder Team
- Provide and/or ensure training and case consultation to staff, Case Management agencies and the Hillsborough Kids system of care.
- Assess quality of work and outcomes through field based observation and data analysis
- Implement ongoing team development
- Create and maintain a Hillsborough Kids (HKInet) site for information on Family Finding
- Coordinate with community agencies to promote Family Finders
- Identify strengths and barriers of the system. Based on these outcomes, identify and develop training curriculum to be provided throughout the system of care.
- Grant oversight for compliance with parameters
- Represent Hillsborough Kids at community events and meetings
Qualifications: Master’s degree in Social Sciences/Human Services preferred. Will consider Bachelor's degree (B. A.) from four-year college or university with five years clinical child welfare experience. Candidate must have five years progressive management experience or equivalent combination of education and experience.
Computer Skills: To perform this job successfully, an individual should have knowledge of Outlook, Excel and Microsoft Word software. Individual should have an aptitude for learning other software applications.

Family Finding Coach
Summary: This position is responsible for designing and implementing permanency planning practices that encompass the Hillsborough Kids mission with a focus on support to Case Management Organizations (CMOs) within the Hillsborough Kids system of care selected as a participant in the Family Finders Research Project. Responsibilities include:
- The Family Finding Coach is responsible to provide direct assistance, consultation and guidance to Case Management Organizations (CMOs) within the Hillsborough Kids system of care selected as a participant in the Family Finders Research Project
- Assist in the planning and implementation of Blended Perspective Meetings
- Facilitate Family Team Decision Making Meetings
- Document activities in FSFN
- Attend staffing for assigned cases
- Maintain data and utilize casework reports as needed
- Design, implement and participate in the development and implementation of procedures to ensure that case outcome measures comply with statutorily mandated benchmarks for safety, permanency and well being for all children and families under supervision by the Hillsborough Kids System of Care (SOC)
- Design, implement and monitor monthly reports related to Grant outcome measures, psychotropic medications and other reports as requested
- Facilitate and participate in staffings related to permanency planning as designed by Operations ie; Specific Case Review, psychotropic medications, Adoption Sibling Separation, AARC, etc.
- Assist in training, mentoring and coaching of staff on practices and procedures related to Family Finding.
Qualifications: Bachelor's degree (B. A.) in child welfare or related field from four-year college or university; and five years related child welfare experience in supervisory capacity; or equivalent combination of education and experience.

Foster Parent Recruitment Specialist
Location: 9309 N. Florida Avenue, Tampa, FL 33612
Summary: This position is responsible for coordination, tracking and performance of foster parent recruitment activities. This includes responding to calls to 643-KIDS, gathering and analyzing data, developing tracking systems and resources to help increase traditional foster care resources. Responsibilities include:
- Responds to all calls made to a centralized phone line (643-KIDS) for prospective foster and adoptive parents.
- Enter data into Kids Direct Data Base comprehensively and with accuracy.
- Register families to attend orientation and Pre-Service training classes and provide the required follow up to all families that do not attend.
- Facilitate Foster Parent Orientation and coordinate with the location/provider to ensure there is adequate space and accommodations for the group.
- Develop additional resources and partnerships in the community for recruitment opportunities or venues for training/orientation.
- Facilitate Pre-Service training as needed.
- Tracks calls and correspondence necessary to resolve issues or provide needed assistance for the children in the Kids Direct data system.
- Review prospective foster parent pre-screen paperwork to determine minimum criteria is met according to Florida Administrative Code.
- Maintains close communication with licensing agencies responsible for licensing foster homes to ensure prompt delivery of services and follow up with prospective families, including regular input into the Kids Direct data base for each pending family.
- Coordinates the issuance of “Welcome packets’ to newly licensed foster homes.
- Coordinates local law clearances and Adam Walsh releases (if applicable) for prospective foster families and provides the necessary follow up with the families and licensing agencies.
- Requests Health Inspections for prospective foster families in accordance with established protocol.

Grants Manager
Location: 9309 N. Florida Avenue, Tampa, FL 33612
Summary: This position ensures the Agency is in compliance with the fiscal requirements of funding sources; functions as fiscal liaison to senior managers on grant and on contract compliance. This position assists with other projects as assigned by senior management. This position interfaces with senior management as well as funding source representatives on a daily basis. Responsibilities include:
- Review and maintain fiscal records for grants/specified contracts and other revenue sources. Develop an in-depth, authoritative knowledge of specific funding source requirements.
- Responsible for fiscal compliance on all grants/contracts. Report in a timely manner to senior management on any matters affecting compliance.
- Determine appropriate billing method (cost-reimbursed, fixed rate, performance based) as required by contractual agreement. Design and maintain effective billing system. Submit billing packages to the funding source on a timely basis.
- Prepare monthly journal entries to record revenue and any revenue related adjustments to accounting ledgers. Journal entries to include that month’s billings, disallowances and accruals.
- Prepare periodic (monthly and/or quarterly, as required) reconciliation of billings to financial statements.
- Prepare funding sources financial reports and coordinate operational reports required by funding agent.
- Collect and analyze research information for use in support of advocacy and funding activities.
- Coordinate and oversee fiscal response to funding sources’ monitoring. Primarily responsible for successful resolution on fiscal issues.
- Train appropriate staff on grant requirements.
- Responsible for Request for Proposals or Invitation to Negotiate that Hillsborough Kids will be soliciting for services.
- Work with senior management by preparing grant proposal budgets and budget narratives necessary.
- Trained and authorized to access protected health information.
Qualifications: Bachelor’s degree in accounting or related field. Minimum five years professional experience in automated accounting environment. Non-profit experience preferred.
Computer Skills: To perform this job successfully, an individual should have knowledge of Excel, Microsoft Word, Outlook, PowerPoint, and Great Plains accounting software.

Psychiatric, Registered Nurse
Status: This is a temporary, contracted position for 90 days, 20 hours per week, pending further assessment of the hours needed to meet the training demands and duties that the nurse may perform.

Summary: This position will provide training and oversight for licensed foster families in Hillsborough County, Tampa, Florida. The position may require assistance in other areas of the system of care for children who have been adjudicated dependent by the Juvenile Court and placed in licensed care. Other duties may include caseworker staff training and counseling assistance for the caregiver related to behavior management of the children prescribed these psychotropic medications.
Qualifications: Masters degree in psychiatric-mental health nursing through an accredited program (AACN or NLN) and a minimum of two years experience working with children and youth in a social services or public health setting; or equivalent combination of education and experience.

Resource Specialist
Location: West Care Center, 5520 W. Idlewild, Tampa, FL 33634
Summary: This position is responsible for providing up front services to families that face allegations of abuse, neglect, and abandonment. This position supports family preservation by providing families with comprehensive services and linking them with community support systems to divert them from entering the HKI System of Care. Responsibilities include:
- Assesses and identifies the needs of families as referred by the HCSO Child Protective Investigators (CPID), includes referrals for entitlements and services including child care, Medicaid, ASO funds, mental health referrals, housing, transportation, other services or entitlements as defined by federal, state, local and judiciary requirements.
- Works closely with CPID to assist relatives so children can remain with family and prevent them from entering the Hillsborough Kids, Inc. System of Care.
- Communicates on a consistent basis with the CPID on progress of clients.
Qualifications: Bachelor's degree (B. A.) from four-year college or university; and two years related experience and/or training; or equivalent combination of education and experience.
